How many cups should you order for an event?

The required cup quantity depends on cups in use, cups temporarily in the collection and washing process, and reserve stock. Attendance alone does not determine an order. Compare quotations using the total cost of the same model, print and delivery scope.

Use a transparent stock calculation

Divide the required stock into three groups: cups currently held by guests, cups temporarily unavailable because of collection and washing, and a deliberately planned reserve. In an illustrative calculation, 600 cups in use, 200 in the washing cycle and 100 in reserve require 900 cups.

This demonstrates the calculation, not a recommendation for an event with 600 attendees. Your service process determines the inputs. Record the assumptions so the team can adjust them when the plan changes.

Your quantity calculation should also reflect the selected model. Compare a 300 ml event cup with a 500 ml event cup against your drinks menu and serving sizes. Use the event cup range to prepare a shortlist for your quotation. If you need several sizes, specify the quantity of each size separately.

What changes if there is no washing on site?

If a used cup cannot return to a drinks station during the event, the same unit cannot be counted in multiple service cycles. Cups retained by guests as souvenirs also leave the returnable stock.

Explain whether guests keep one cup, exchange it with every drink or return it only when leaving. These differences affect the required quantity more than a general cup-to-attendee ratio. The return route must also be practical for both guests and staff.

Compare total costs on the same basis

Ask the quotation to identify the cup, printing, setup, accessories, packaging and transport scope. Check VAT treatment and how many artwork variants and delivery addresses are included.

A lower unit price does not necessarily mean a lower total if necessary components are added later. An unprinted cup quotation and a printed cup quotation cannot be compared without adjusting the scope. Keep alternative quantities on the same specification so the price difference is meaningful.

Ask for two quantities you could realistically use

If the plan is still developing, choose two useful quantities instead of requesting an arbitrary long price table. Explain where the additional stock would be used: another event, the next season or a separate drinks station.

Before ordering more, identify the storage space and the next-use process. Availability and pricing are confirmed when the enquiry is prepared; a model shown on the website does not mean stock has been reserved. Larger quantities should follow a practical plan.

When should the quantity be finalised?

Confirm quantity together with the model, print and delivery plan. A later top-up may require another production run and separate transport. If there are several designs, show the quantity for each one.

For Clip IML, check the starting quantity of 1,000 units per capacity and design. The schedule must leave time for artwork approval and arrival before the event. Manufacturing completion and delivery to the venue are different milestones, so specify the required arrival date.

For 100 or 300 printed cups, request separate quote lines for the same model and print specification. IML has a different starting quantity: Recups Clip IML starts at 1,000 cups per size and artwork. Do not transfer one production method’s minimum or pricing assumptions to another.

Include print preparation, artwork work, accessories, transport, washing and storage. Check whether VAT is included or added. A return deposit is different from the purchase cost and needs a separately agreed operating process. After the event, record opening stock, returns and losses. Those figures make your next purchasing decision more accurate.
